JOB SUMMARY: Experience with COEUS systems, DMS, proficient in excel formulated worksheets, PEER submissions (Grants and Contracts) and eRA Commons; problem solving, keep abreast of NIH policy and internal policies, work in a fast and productive environment in an efficient manner which is deadline driven requiring multiple tasking and prioritizing. Prefer 5 years' experience in COEUS and COEUSLite; VUMC Financial systems; professional communication and writing and analytical problem solving abilities. Work "independent" to achieve the outcomes as required by supporting Faculty/Staff and outside collaborative sites. Looking for the right candidate with a desire to perform at the highest level of competency is a mandatory requirement. At least 5 years' experience as a Grants Manager or Administrative Officer is preferable. Work closely with Vanderbilt University Medical Center - Sponsored Programs Office, Contracts Management and Finance. This position will require taking the grant submission from inception to the completion for a successful and compliant application through Grants.gov and other funding Agencies in the required platform. Candidates with limited experience but has proven skills and a willingness to learn will also be considered.
Assist faculty in preparing and assembling grants proposals/contracts in compliance with sponsor and federal guidelines and deadlines.
Assist PI in determining requirements, deadlines and time management for responses to PAs/RFAs or general application submissions in a proactive manner. Coordinate multiple applications with conflicting deadlines and prioritizing abilities.
Work in a collaborative manner with the Principal Investigator throughout the application process to achieve a professional and compliant submission in adherence to the funding guidelines.
Responsible for obtaining appropriate signatures for Conflict of Interest Forms/PI assurance requirements have been completed through the PEER portal. (Automatic system).
Interact with other departments and agencies to facilitate the development, submission, and administration of grant proposals, budgetary information and other required documentation in a professional and time sensitive manner.
Work in a collaborative manner with the Principal Investigator throughout the application process to achieve a professional, compliant submission. Review in-depth all requirements for the submission as outlined by the funding Sponsor.
Responsible for tracking and receiving back confirmation of submitted application through the eRA Commons portal.
Work with Faculty and outside departments requesting biosketches, other support and ancillary data as requested.
Responsible for submitting annual Progress Reports created/submitted through eRA Commons. Working with DMS/Financial reporting for tracking and reporting of effort and review of financial reports and collection of other required documentation for the final submission to NIH.
Independently manage budget responsibilities for grants for preaward/postaward activity as required.
Works in conjunction with Faculty on new, competing or revised grant applications in preparing initial and extended budgets and other application components for submission by utilizing the COEUS system and other grant submission platforms.
Serves as a resource for the department or division for multiple tasks as assigned.
Ensure compliance of IRB/Human Subjects Protocols, Human Subjects Training for Key personnel, and/or other internal/eternal federal compliance reported annually for grants/contracts as required.
Monitor terms and agreements of grant awards for compliance and communicates accordingly to the PI of the awarded project.
